How do I request a centrally scheduled classroom for a future semester?

Centrally scheduled classrooms are assigned to Schools and Departments on first pass assignments. Any additional centrally scheduled classroom space should be requested by Scheduling Officers during the Schedule of Classes process. Please email Course & Room Scheduling at scheduling@ku.edu or call 785-864-5124 for more details.

Can we add more chairs to our centrally scheduled classroom to increase capacity?

Seating in a centrally scheduled classroom is determined by the Fire Marshal according to state fire safety regulations. Increasing the seating would be a violation of those regulations. Please contact Course & Room Scheduling by email scheduling@ku.edu or by phone at 785-864-5124 for a larger centrally scheduled classroom assignment, if needed.

How do I submit a request for a centrally scheduled classroom assignment for a departmental meeting?

Room reservations for centrally scheduled classrooms can be requested by submitting the Event Room Reservation Request form, by email at scheduling@ku.edu, or by phone 785-864-5124. In any case, centrally scheduled classroom requests are filled on a first-come, first-served basis.

Note: Each semester, all classes and special exams are placed before event requests are placed. No reservations can be placed for the week of final exams until final exams have been placed.

May I use any centrally scheduled classroom that appears open?

A centrally scheduled classroom may appear to be unused and available for use. However, it might be reserved for specific days or times that overlap with your needs creating a classroom conflict. The individual or group with the electronic room reservation confirmation has the right to that centrally scheduled classroom.

In order to ensure you will have a centrally scheduled classroom when you need it and not conflict with someone else, please utilize only the centrally scheduled classroom you’ve reserved through Course & Room Scheduling. Please contact us by email at scheduling@ku.edu or call 785-864-5124, and we'll help you verify that the centrally scheduled classroom is open for your use or we'll try to find you a suitable alternative. When can I reserve a classroom for a final exam?

Final exam classroom assignments for scheduled classes are made approximately one month prior to final exam week. You may contact Course & Room Scheduling at scheduling@ku.edu or call 785-864-5124 at that time to reserve additional centrally scheduled classrooms for extra seating, project presentations, and alternate exam or make-up exam times for your final exam.

Who do I contact if there is an accommodation needed for an instructor or student with a disability?

You may either call Course & Room Scheduling at 785-864-5124 or email scheduling@ku.edu. Please do not add or change classroom fixtures or equipment without permission.

Who supplies the dry erase markers in centrally scheduled classrooms?

It is the responsibility of each department to provide the dry erase markers as needed by its instructors.

Issues

What if an instructor runs over their scheduled time?

Course & Room Scheduling will process course and event scheduling with 10 minute intervals between sessions. This short intermission of time is intended to be shared between the instructors occupying the same classroom space for students’ questions or audio-visual setups while allowing students to arrive to the next class in a timely fashion.

Who do I contact for maintenance issues in centrally scheduled classrooms?

You may either call Facilities Services at 785-864-4770 or initiate an online work request at www.facilities.ku.edu

Examples of maintenance issues in centrally scheduled classrooms are:

  • Chairs and/or tables missing.
  • Classroom is too hot/cold.
  • Chairs, tables, and/or window blinds are broken.
  • Lights are not working correctly.
  • Podium/lectern or instructor’s table is needed.
  • Excessive amount of trash in the classroom.

Reservations

Who handles reservations for centrally scheduled classrooms?

Course & Room Scheduling, a division of Departmental and Faculty Services in the Office of the University Registrar, handles all daytime, evening and week-end scheduling of centrally scheduled classrooms. All reservations are subject to existing University policies and restrictions.

What are the rules regarding centrally scheduled classrooms?

Inquiries regarding room availability received by online form, by telephone, or by email do not confirm a reservation nor do they hold space for your event. Only an electronic reservation confirmation sent to you by a room reservation coordinator guarantees that the room has been reserved.

  • No food or drink is allowed in a centrally scheduled classroom.
  • Please allow set-up and breakdown time in your reservation request, if needed.
  • Classroom Technologies, 785-864-1200, must be notified at least 2-3 business days in advance of your event, if media equipment training is needed or if anything beyond lights is required for an auditorium reservation.

Note: Each semester, all classes and special exams are placed before event requests are placed. No reservations can be placed for the week of final exams until final exams have been placed.

Weekend Reservations Note: If you are using a room in a building other than Wescoe, Malott, or Learned, you will need to provide access to the room and building.  KU Public Safety will not unlock.

Who can reserve centrally scheduled classroom space?

Use of centrally scheduled classroom space will only be permitted by University schools and departments or by recognized student groups that are in good standing with the Office of Student Involvement and Leadership.

Note: Groups from outside the University requesting the use of centrally scheduled classrooms on campus, should contact Course & Room Scheduling at scheduling@ku.edu or call 785-864-5124.

How do I schedule a classroom for my recognized student group meeting?

Requests for use of centrally scheduled classroom space by a recognized student group in good standing must be submitted to the Office of the University Registrar using the Event Room Reservation Request form.

Can I make future and/or recurring reservations?

Future and/or recurring reservations in centrally scheduled classrooms will only be accepted for one semester at a time.

How do I cancel or change a reservation?

If a decision is made to cancel the event or to change the time or location for an existing reservation, please email the reservation number from your electronic reservation confirmation to scheduling@ku.edu along with your requested change or call 785-864-5124. 

What if someone is in my assigned centrally scheduled classroom?

If your event has been scheduled through Course & Room Scheduling, please present your electronic room reservation confirmation for rights to the classroom. We make every effort to avoid this circumstance. However, in the unlikely event this occurs, please email Course & Room Scheduling at scheduling@ku.edu or call 785-864-5124 or leave a message after hours for follow-up the next day. Information about the group using the centrally scheduled classroom without a reservation is helpful in resolving the problem.
